The Sodexo childcare voucher service allows registered childcare providers to accept childcare voucher payments quickly, easily and free of charge.

The Government allows working parents to exchange part of their salary for childcare vouchers; saving the tax and NI contributions they would normally have to pay. By choosing to take the vouchers parents could currently save over £900 a year, helping them to afford quality childcare like yours.

We make it really easy for you to accept our childcare vouchers. Simply fill in one quick form and send us a copy of your Ofsted registered (or equivalent) certificate.

Parents can take our childcare vouchers in the form of electronic or paper vouchers and our online portal allows you to keep track of payments from parents as well as redeem paper vouchers.

What are childcare vouchers?

Childcare vouchers are a Government initiative to help working parents. Vouchers are deducted from parents’ salaries and both employers and parents save money, as the value of the vouchers is not liable for tax or NI.

How do I sign up to accept Sodexo childcare vouchers?

If you are a registered childcare provider, all you need to do is complete a Childcare Provider Service Agreement Form. Parents may give this to you to fill out. Alternatively, you can download and print the form here.

Once completed, send your Childcare Provider Agreement to Sodexo Benefits and Rewards Services, along with a copy of your registration certificate. Alternatively, scan a copy of your form and email it to us at customercare.br.uk@sodexo.com. Parents will not be able to pay you with childcare vouchers without this. Ensure you complete your email address if you have one, so that we can notify you by email of payments made to your account.

What will I have to do?

To accept childcare vouchers, you will need to be a registered childcare provider. To join the service, you’ll need to give us your details and supply a copy of your registration certificate or number. You are then sent confirmation of your Sodexo Benefits and Rewards Services Childcare provider ID number and may contact our customer care team to activate your account.

Our service is as flexible and hassle-free as possible. There is no redemption required for e-vouchers - payments are made straight into your bank account on the parent’s instruction. The parent’s name and their reference appear on the remittance advice, so you can keep track of who has paid you. Alternatively, you can agree a reference with the parent for payments via their e-voucher accounts to keep track of which child the payment relates to.

What happens once I have joined?

Once we have received your Childcare Provider Agreement and a copy of your registration certificate, you will be sent a welcome email containing your Childcare provider ID number.

How do I update my details?

You must let us know, in writing, if any of your details change.

How do I know who has paid me and when?

Parents can assign a reference to each payment they make to your bank account. This will appear on the remittance advice along with the parent’s name.

You will receive a remittance advice for each payment made to your bank account. This will show the date, who has paid you and a reference or code if you have requested one to be used. You will also have full access to online statements in your online account. This option will allow you to track all payments and also provides the full history of the vouchers you have redeemed.

You should be able to see all payments in the statement, however if you cannot find what you are looking for, please contact our Customer Care team.

How do e-vouchers work?

E-vouchers allow parents to transfer their payments straight into your bank account, so you don’t have to worry about redeeming paper vouchers. Payment is fast and secure and you will receive payment notification via email.

Does it cost me anything to accept vouchers?

No, we ensure there is no cost to you in accepting vouchers. Payment is made at the parent's instruction, directly into your chosen bank account.

Is the system secure?

The portal is highly secure, with all parties using a unique username and password to login. Your bank details are stored securely within our system.

The government’s proposed Tax-Free Childcare Scheme is set to launch in early 2017, which would mean the current Employer Supported Childcare Voucher Scheme would close to new entrants.

If you already accept childcare vouchers you can continue to do so if the new system comes into effect. Childcare vouchers will remain in circulation for those parents who choose to stay on their existing scheme, so if you don’t currently accept vouchers, you might want to consider signing up before the new scheme comes into effect.
